Who are we?

Your Feet First is a Podiatry and Foot Health Clinic trading as part of Ashfield Therapy Centre Ltd, providing private health care services.

What are we going to do with your information?

We process personal information to enable us to provide health services to our patients, to maintain our accounts and records and to promote our services.

We process information relevant to this. The information may include:
  • personal details
  • family details
  • lifestyle and social circumstances
  • goods and services purchased from our company
  • financial transaction details
We also process relevant sensitive information that may include:
  • Details about your physical or mental health
  • Your gender, race or religion

Why are we asking for/collecting your information?

We aren’t asking to be nosey. 

We do need to ask you about certain things, like your medical history and lifestyle (such as smoking, drinking and exercise levels), as the health of your feet is linked to the health of the rest of your body.

We want to give you the best possible care when you visit us and to do this we need you to be honest with us about your health and lifestyle.

As a medical/health care practice, we are required by law to keep records of your treatments and this information forms part of this.

Other information we ask for, such as your contact information is simply collected to enable us to contact you if we need to, for example to remind you of an appointment, to check on you or to let you know if your practitioner is unable to see you due to an emergency or illness.

Sometimes we need to share your information. Who might we share it with?

We will, of course, share information with you. We won’t, however, routinely share information about you with your parents, family members or carers unless it is necessary, required and/or you give us consent to do so.

It might sometimes be necessary for us to share your information with other healthcare professionals, such as your GP, nurse or consultant. There are times when we may need to disclose personal information about you to other health and welfare services, such as social services, particularly where we have a serious concern for your wellbeing.

If you are claiming your treatment costs back from an insurer, we may be asked to share details of your appointment with them. Where this is requested, the information shared would be administrative, such as the date/ time and cost of the appointment, rather than of a sensitive nature.

Your data will be visible to employees and self employed partners working with the business, but only to the extent that it is appropriate for their role. For example, our in house and virtual receptionists will be able to access your contact information, but will not have access to your medical or treatment records.

Some of your data will be processed by partner companies, for example our medical software company when booking an appointment, or our financial software partners when making a purchase online or by card in clinic.  The payment gateways we use online and in clinic are compliant with both GDPR and PCI-DSS, a standard managed by the PCI Security Standards Council to help ensure that credit card information is processed securely.

When we do have to share your data, we are required to comply with all aspects of the Data Protection Act (DPA) , the UK General Data Protection Regulation (UK GDPR) and are registered with the Information Controllers Office (ICO).

Your data will never be sold by us for any purpose.

How do we store your data?

All of our data is stored digitally and are securely stored in line with the law. Much of our data is stored on servers located outside of the European Economic Area (EEA), but in compliance with the relevant data protection laws of the UK and Europe.

Who is our data controller?

Our Clinical Director, Lyndsey Parnell, is responsible for overseeing the data we hold. She can be contacted at info@yourfeetfirst.org.

Can we delete your information?

This depends on the data we hold and what the legislation requires us to do with it, which varies. In some instances, we may be able to delete your information at your request, however we must legally retain medical records for a defined time period of at least 7 years after your last treatment, depending on your age.

What happens to my data if i make an enquiry but do not book an appointment or make a purchase?

If you contact us electronically to make an enquiry, we will respond to your enquiry using the details you provide. We do not, however, retain or record this data unless you then go on to make an appointment or purchase.
